Cancellation, Attendance & Scheduling Policy

At Autonomous Behavior Solutions (“ABS”), regular attendance is essential for your child to make steady progress. Because each session is reserved specifically for your family, we have the following policies in place to protect your child’s treatment time and to ensure fair access for other families.


1. Canceling or Changing an Appointment

  • Minimum notice: Please cancel or request changes to an appointment at least 24 hours before the scheduled start time.
  • How to cancel:

If you’re unsure whether to keep an appointment (for example, your child is becoming ill), we encourage you to reach out as early as possible so we can explore options such as rescheduling or telehealth when appropriate.


2. Cancellation, No-Show, and Late Arrival Fees

Because your provider sets aside time specifically for your child, late changes may result in a fee.

  • Late cancellation (less than 24 hours):
    • A $60 late-cancellation fee will be charged if you cancel with less than 24 hours’ notice.
  • No-shows (no contact before the appointment):
    • If you do not attend a scheduled session and do not contact us beforehand, a $60 no-show fee will be charged.
  • Late arrivals:
    • If you arrive more than 15 minutes after the scheduled start time, the session may be shortened or canceled.
    • If the session cannot proceed due to a late arrival, a $60 late-cancellation fee may apply.
    • If the clinician is still able to see your child, the session will end at the original end time, even if it starts late.

Important: These fees cannot be billed to insurance. They are the responsibility of the caregiver and will be charged to the credit card on file or added to your account balance.


3. Attendance Expectations

Consistent participation helps your child learn and maintain skills, and it also allows us to staff and schedule responsibly.

  • Families are expected to maintain at least 80% attendance of scheduled sessions each month.
  • Repeated late cancellations or missed sessions may result in:
    • Adjustment of your regular schedule, or
    • Your recurring time slot being offered to another family.

If attendance becomes a concern, we will reach out to discuss what’s getting in the way and work together on a plan whenever possible.


4. Illness, Vacations, and Holidays

We want to balance your child’s clinical needs with your family’s real-life circumstances.

  • Illness:
    • If your child is sick, please notify us as early as possible.
    • If a session is canceled due to illness with less than 24 hours’ notice, the $60 fee may still apply.
    • When clinically appropriate and available, we may offer to convert the session to telehealth instead of canceling.
  • Vacations and planned time away:
    • Please let us know about vacations or travel as soon as you know, and at least 72 hours ahead for any affected sessions to avoid a fee.
  • Clinic and office holidays:
    • When ABS is closed for holidays, those cancellations do not count against attendance and no cancellation fees are charged.

5. Late Pick-Up

  • Sessions must end on time so that clinicians can prepare for the next child.
  • Frequent late pick-ups can disrupt other families’ care.
  • If late pick-up becomes a pattern, ABS leadership will contact you to discuss possible solutions (schedule changes, reminders, etc.). Ongoing concerns may lead to adjustments in your child’s schedule.

6. Provider Cancellations

We recognize that schedule disruptions are difficult for families.

  • If your assigned clinician is unavailable (illness, emergency, or other reason), we will:
    • Attempt to provide a qualified substitute for that session, or
    • Offer rescheduling options as scheduling allows.
  • If ABS cancels a session and no substitute or reasonable alternative is available, you will not be charged a fee.
  • If a comparable session is offered at the same time (e.g., with a substitute clinician) and is declined for non-emergency reasons, the standard $60 cancellation fee may apply.

7. Requesting a Fee Review

We understand that emergencies and unexpected hardships happen.

  • If you believe a cancellation, no-show, or late fee was charged in error or there were exceptional circumstances, you may email:
  • Please include your child’s name, the date of the appointment, and a brief explanation.
  • Our team will review the situation and may waive or reduce the fee at our discretion in cases of true emergencies or one-time events.
